The Position:

The Public Relations Producer oversees the executional design, development, and delivery of all projects and campaigns within the Public Relations department. The professional is an expert on all delivery methodologies for executing projects in PR, including areas such as media relations, social media, thought leadership, internal communications, issue management, speaker submissions, content creation, and event management.

The PR Producer is flexible and highly comfortable navigating quickly-changing client needs and team priorities. He or she thrives in a fast-paced environment and capable of managing ongoing client requests and activating the team members necessary to deliver the work.

The PR Producer is the continuity between the PR department and the broader agency project management and resourcing function. This role includes aligning proposals, budgets and schedules with the Senior Project Manager, while reviewing all deliverables to ensure they meet client’s overall strategies and objectives, and ultimately having fun doing it all.

The Responsibilities:

  • Manages all team resources for PR, ensuring the proper involvement of team members, freelancers, and other agency partners in delivering work for clients.

  • Serves as client-facing partner around timeline feasibility, project health and budgets, and recaps from client calls and meetings.

  • Supports in development of proposals for PR engagements, including building out timelines, identifying team members to support, and flagging resource gaps.

  • Skillfully moves an idea from planning to production by assessing high level scopes and ballparks with limited information, while mitigating risks.

  • Develops and manages multiple, comprehensive project schedules to meet targeted deadlines in a fast-paced, fluid, and entrepreneurial environment.

  • Organize and set clear expectations for all project tasks, requirements, and deliverables and hold project team members accountable for meeting deadlines.

  • Skillfully manages project resources and utilization through collaboration with the Resource Manager for a specific department, while driving creative solutions.

  • Generates estimates and finalizes project costs to ensure all deliverables are on time and on budget.

  • Prepares status reports, prioritizes hot sheet communications, sets up and leads internal meetings, captures internal action items and next steps, and updates all stakeholders as required.

  • Works closely with Senior Project Manager to maintain ongoing compliance of PMO process, while planning and delivering projects.

  • Closely collaborates with other Senior Project Managers to document changes in project scope, and make adjustments as needed to ensure project timelines, budgets, and quality are not adversely affected.

  • Leads Public Relations team meetings in terms of setting the agenda, providing appropriate materials in advance of meetings and ensuring to-dos and next steps are set and followed.

  • Maintains vendor relationships. Communicates project schedule shifts confirming availability of vendor, freelancers, and escalates risk to Resource Manager for sourcing new vendors as necessary.

  • Work with Resource Manager to source multiple internal and external resources, such as specialty vendors, freelancers, production partners, and other fulfillment counterparts as needed by the department

The Essentials:

  • Billable target of 75%.

  • Education: bachelor’s degree in public relations, communications, or related field preferred.

  • Understanding of Agile and/or Waterfall Project Management methods preferred, but not required.

  • Familiarity with working with project management systems and tools.

  • Experience working within an integrated marketing agency or public relations agency required; in-depth knowledge of public relations strongly preferred.

  • Strong negotiation and conflict management skills.
